FULLY INCLUSIVE CONFERENCE PACKAGE
Applicable to groups with a minimum of ten delegates or more residing in the Hotel
Package inclusive of:
- Accommodation on a Dinner, Bed and Breakfast basis
- Room Levy and VAT at 14%
- Breakfast
- A three course business luncheon
- Registration Desk
- Conference room of a size appropriate to the number of delegates attending. Pens, note pads, water and mints.
- Standard conference equipment – flipchart, white board, screen and an Data projector.
- Arrival Tea & Coffee on first day
- One mid-morning and one mid-afternoon refreshment break with tea & coffee accompanied by either a sweet or savory snack.

Rates are quoted per person per day valid from 14h00 on day of arrival to 10h00 on day of departure. Rates after the valid period may also be quoted upon request.
DAY CONFERENCE PACKAGE @ R350.00 per person
Applicable to groups with a minimum of ten delegates or more not residing in the hotel
- Registration Desk
- Conference room of a size appropriate to the numbers attending. From 08h00 until 17h00
- Arrival Tea & Coffee and a mid morning Tea & Coffee break served with either a sweet or savoury snack
- One mid afternoon refreshment break - No snacks
- A three course business luncheon
- Water, mints, notepads and pens on the conference tables
- Standard Conference equipment – flipchart, white board, screen and Data projector.
HALF DAY CONFERENCE @ R300.00 per person
- Registration Desk
- Conference room of a size appropriate to the numbers attending. From 08h00 until 13h00 or 12h00 until 17h00.
- Arrival Tea & Coffee served with either a sweet or savoury snack
- One refreshment break served with either a sweet or savoury snack
- A three course business luncheon
- Water, mints, notepads and pens
- Standard Conference equipment – flipchart, white board, screen and an Data projector.
CONFERENCE EQUIPMENT
- Telephone extension exclusive of all calls
- Microphones (Roving or Lapel) @ R 550.00 per day
- Flipchart and marker pens
- Video / TV Combos R1 500.00 per day
- DVD / VCR @ R600.00 per day
- PA System at R1 250.00 per day

FUNCTION VENUE HIRE
Venue hire is charged in the event of the room being required for set up more than 12 hours prior to the main group’s arrival or for breakaways and exhibitions.

- If the Hotel has been booked exclusively, no venue hire will be levied
- Evening Function venues are available from 18h00 till 24h00, thereafter a overtime surcharge of R 5 000.00 applicable for every hour or part thereof
- Day Function venues are available until 16h00, unless otherwise confirmed in writing by Fairview All-Suite Hotel Management. An overtime surcharge may be applicable for functions that end after the agreed to time.
ADDITIONAL CONFERENCE OPTIONS
Additional specialised equipment can be arranged through the banqueting department such as:
- Formal banquets, spit braai, additional theme or private dinners
- Floral decorations
- Team building of site
- Luggage
- Additional specialist audio visual equipment
- Entertainers, dancers, motivational speaker and MC’s
- Airport Collection / Car Hire
- Conference breakaway rooms and private function room

Our Culinary team will gladly design a menu to suit your specific requirements for any function or event that you are planning. Please discuss your specifications with the Banqueting Department. Herewith a breakdown of estimate costs (subject to choice of menu):

Cancellation Policy:
- The client must confirm all changes and cancellations in writing. No verbal instructions will be accepted. No exception to cancellation policy will be made.
- In the event of non-payment with in the time specified, Fairview All suite Hotel shall be entitled to cancel a provisional booking without further notice or liability to the client.
Payment requirements:
Bookings are secured on receipt of a 50% deposit, we regret, unfortunately no cheques are accepted 15 day’s prior to the group’s arrival or without prior arrangement with Management.

MONTHLY PAYMENT OPTION:
If your Function is booked more than six months in advance, you may prefer to split the payment of your total bill over the first four months prior to the function. The first payment will secure the booking. These payments must be monthly, on any constant date, with the full amount paid up two months prior to the function.
